Master List of Specific Accountabilities

Chair AGMs and semi-annual meetings of the BC Certified Assayers Program Council of Advisors. C
Establish and circulate meeting agenda prior to spring and fall meetings. C
Inform Council members of meeting location & time. C
Maintain a list of the executive and directors. Direct website administrator to make updates to website. C
Review draft minutes, as provided by the Scribe, and direct the website administrator to post meeting minutes to the website. C
Schedule Certified Assayers Foundation AGM and semi-annual meetings of the BC Certified Assayers Program Council of Advisors. C
Attend at least one advisory council meeting per year. D
Maintain an inventory list and library of certified reference materials for examination purposes. G
Maintain regular contact with the chair of the board of examiners to relay comments from Examiners' Board meetings to the Ministry, including the names of successful candidates passing the Assayers examination who are to be recommended to the Minister for the issuing of government of BC Certificates of Proficiency in Assaying. G
Produce certificates for successful candidates and provide them to the Minister with an accompanying note for the Minister to sign the certificates. G
Distribute annually invitations to program stake holders for financial contributions. Issue invoices and provide receipts. Provide cheques to Treasurer. MC
Maintain contact information for corporate members/sponsors. MC
Solicit for new corporate members. MC
Distribute annually invitations to individuals for financial contributions. Issue invoices and provide receipts. Provide cheques to Treasurer. MI

Liaise with BCIT to coordinate Graduate Achievement Scholarship. Sch
Liaise with companies & website administrator to promote Assayer Trainee scholarship opportunities. Sch
Liaise with Treasurer & Advisory Council to propose annual scholarship numbers and amounts. Sch
Provide direction to the Treasurer to issue and send cheques to successful candidates for scholarships. Sch

Initiate a process for the preparation and presentation of an annual budget proposal at spring AGMs. This is to be done in cooperation with the Chair. T
Maintain financial records, make bank deposits, monitor investments (GICs), issue cheques for examiners expenses and scholarships and other valid costs. T
Prepare and submit paperwork for annual registration of the BC Assayers Foundation. T
Prepare semi-annual cost/variance reports T
Become familiar with roels/responsibilities of the Chair VC
Fulfill duties of the Chair when the Chair is unable to fulfill his/her responsibilities VC
